Is it worth connecting the telephone system to the CRM?

Short answer

Yes, with high call volumes. The benefit lies less in click-to-dial than in the fact that the correct record appears immediately upon an incoming call, and the conversation is documented without follow-up. With few calls per day, the effort is not worthwhile.

What a connection provides

Requirements

A telephone system with an interface. Modern cloud systems come with it, older systems often do not. This is the first point to clarify – not the feature list.

When it is worthwhile

Rule of thumb: from about twenty calls per person per day. Below that, the setup and maintenance effort is greater than the savings.

Data protection

  • Call recording is not permissible without the consent of both parties. A notice in the announcement is not sufficient as consent from the caller if there is no real choice.
  • Connection data of employees are personal data. An evaluation of the call times of individual persons is subject to co-determination where a works council exists.
  • Limit the retention of call logs.

What often disappoints

Recognition only works if the number is in the CRM in the correct format and the caller does not withhold it. Do not expect one hundred percent – but even seventy saves noticeable time.
